SAWS respects the privacy of its members, prospective members and others who provide personal information to us.

This Privacy Policy explains what information we collect, why we collect it, how we use and disclose it, and how you can access or correct your information.

SAWS handles personal information in accordance with applicable privacy laws and reasonable privacy practices.

Information We Collect

Depending on how you interact with SAWS, we may collect information such as:

• your name, email address, mailing address and telephone numbers;

• membership type, membership dates and membership status;

• information needed to determine eligibility for particular membership types;

• woodworking interests, areas of expertise, meeting interests and other information you choose to provide;

• information about volunteering, skills or experience that may help SAWS;

• account, payment status, invoice and transaction information; and

• other information you voluntarily provide to SAWS.

Payment card information is processed by our payment service providers. SAWS does not need to collect or maintain your full payment card number as part of your member profile.

How We Use Your Information

SAWS uses personal information for reasonable purposes connected with operating the Society, including:

• creating and administering memberships;

• processing membership fees and renewals;

• communicating with members;

• providing meetings, programs, resources and member benefits;

• confirming eligibility for membership types or programs;

• planning programs and understanding member interests;

• coordinating volunteers and Society activities;

• providing members-only directories and resources;

• maintaining accurate records; and

• protecting SAWS systems, members and resources.

We will not use personal information for an unrelated purpose without appropriate authority or consent.

Member Directory and Member-to-Member Information

Certain information may be made available to other current SAWS members through a members-only directory or member list.

Information made available may include your name, general location, woodworking interests, areas of expertise and selected contact or profile information.

SAWS may provide members with choices about what information is visible to other members as the member directory evolves.

Member information is provided for personal, Society-related communication. It must not be used for unsolicited commercial purposes, distributed outside SAWS or provided to non-members.

Service Providers

SAWS uses third-party service providers to operate services such as membership management, payment processing, website hosting, email, file storage and other technology services.

SAWS does not sell or rent personal information.

Personal information may be provided to service providers only as reasonably necessary for them to provide services to SAWS, or where disclosure is otherwise permitted or required by law.

Some service providers may process or store personal information outside Canada. Information processed in another country may be subject to the laws of that jurisdiction.

Protecting Your Information

SAWS uses reasonable administrative, technical and physical measures appropriate to the sensitivity of the information to protect personal information against unauthorized access, use, disclosure, modification or loss.

No system can guarantee absolute security, but SAWS takes reasonable steps to protect the information entrusted to us.

Retaining Information

SAWS retains personal information only as long as reasonably required for the purposes for which it was collected, for legitimate Society administration, or to meet legal or record-keeping requirements.

Information that is no longer required may be deleted, anonymized or securely destroyed.

Access and Corrections

Members can review and update much of their membership information through the SAWS Member Portal.

You may also contact SAWS to request access to personal information we hold about you or to ask that inaccurate information be corrected.

Consent and Your Choices

Where consent is required, you may withdraw or change your consent to certain uses of your information, subject to legal and operational requirements.

Some personal information is necessary for SAWS to administer your membership. If you ask SAWS not to use information that is required to provide membership services, we may no longer be able to provide some or all of those services.

Changes to This Policy

SAWS may update this Privacy Policy as its programs, technology or privacy practices change.

The current version will always be published on the SAWS website.
